What Happens Next
A little planning, a little anticipation, and memories worth holding onto.
Once you've submitted your family's information, we'll personally review your details, including your children's ages, family size, and three preferred session dates.
We'll be in touch to coordinate a date that works with our availability and begin planning your family's photography experience.
From there, here's what you can expect:
01 | Confirming Your Date
We'll review your preferred dates and reach out to confirm availability. If none of your requested dates are available, we'll work together to explore alternatives.
02 | Planning Your Experience
Once we've established a date, we'll help select a beautiful outdoor location in the Reno–Sparks area and share a few thoughtful recommendations to help you prepare. Our hope is to create an experience that feels natural, relaxed, and true to your family.
03 | Making It Official
You'll receive a photography agreement outlining your session details. Once the agreement is signed and your date is confirmed, your family photography experience is officially reserved.
04 | Preserving Your Season
On the day of your session, we'll focus on the genuine connections, little personalities, and beautiful in-between moments that make your family uniquely yours.
Following your session, you'll receive a carefully curated collection of 40 professionally edited, high-resolution digital photographs through your private online gallery, with personal printing rights. We are so grateful for the opportunity to photograph your family. Our hope is that these images become more than photographs — that they become a beautiful reminder of this season of life, exactly as it was.
Official Prize Terms & Conditions
Ocean & Rock Photography | Family Photography Experience
This family photography experience has been generously donated by Ocean & Rock Photography in support of fundraising efforts benefiting American Heritage Girls and Trail Life USA.
The following terms and conditions outline the details, limitations, and redemption requirements associated with this complimentary photography experience.
1. Prize Description
The winning recipient will receive one (1) complimentary family photography experience, which includes:
- One (1) 60-minute outdoor family photography session.
- Forty (40) professionally edited, high-resolution digital photographs, selected and curated by Ocean & Rock Photography.
- A private online gallery for viewing and downloading the final images.
- Personal-use printing rights for all forty (40) delivered digital photographs.
The photography session and specified digital collection are provided at no additional charge to the winning recipient. No additional purchase is required.
2. Eligibility & Participants
The photography experience is valid for one (1) immediate family household of up to six (6) individuals.
Extended family members, multiple households, or additional participants are not included unless expressly approved in writing by Ocean & Rock Photography prior to scheduling.
The prize is intended exclusively for personal family portraiture and may not be used for commercial photography, professional branding, weddings, events, or other photography services.
3. Session Location & Travel
The photography session will take place at one mutually agreed-upon outdoor location within the Reno–Sparks, Nevada area.
The final location will be determined in consultation with Ocean & Rock Photography, taking into consideration seasonal conditions, accessibility, lighting, and the photographer's artistic recommendations.
Locations outside the Reno–Sparks area are not included. Any exceptions must be approved in writing and may require additional travel fees.
4. Scheduling & Expiration
The winning recipient must contact Ocean & Rock Photography within thirty (30) calendar days following the raffle drawing to initiate the booking process.
The photography session must be completed within nine (9) months of the raffle drawing date.
All sessions are subject to photographer availability. Specific dates, times, weekends, holidays, and peak-season appointments are not guaranteed.
Scheduling is confirmed only upon written approval by Ocean & Rock Photography and completion of the required photography agreement.
Failure to schedule or redeem the experience within the designated period may result in forfeiture of the prize.
Any extension must be approved in writing by Ocean & Rock Photography.
5. Rescheduling & Cancellations
The winning recipient must provide at least forty-eight (48) hours' notice when requesting to reschedule a confirmed session, except in the case of an emergency.
Ocean & Rock Photography reserves the right to reschedule a session due to unsafe weather, illness, emergencies, or circumstances beyond reasonable control.
Repeated cancellations, failure to attend a confirmed appointment, or failure to communicate regarding scheduling may result in forfeiture of the photography experience.
Any approved rescheduling remains subject to the original redemption period unless an extension is granted in writing.
6. Photography, Editing & Image Selection
Ocean & Rock Photography maintains full artistic and creative discretion throughout the photography experience, including photographic direction, composition, lighting, image selection, and final editing.
The recipient will receive forty (40) professionally edited digital photographs consistent with the established photographic style and artistic standards of Ocean & Rock Photography.
Final images will be selected and curated exclusively by Ocean & Rock Photography.
Unedited photographs, RAW files, and additional images beyond the included collection are not part of the prize.
Specific poses, compositions, individual photographs, or particular outcomes cannot be guaranteed.
7. Digital Gallery Delivery
The completed collection of forty (40) high-resolution digital photographs will be delivered through a private online gallery.
Gallery delivery is anticipated within four (4) to six (6) weeks following the completed session. Delivery timelines may be reasonably adjusted due to unforeseen circumstances, with communication provided when necessary.
The recipient is responsible for downloading and securely backing up the delivered photographs during the gallery's availability period, as specified in the photography agreement.
8. Personal Printing Rights & Excluded Products
The recipient receives personal-use printing rights for all forty (40) delivered digital photographs.
Images may be downloaded, shared with family and friends, and independently printed through a printing provider of the recipient's choice for personal, noncommercial purposes.
**No physical prints, albums, framed photographs, or other tangible photographic products are included in this prize.**
Additional digital images, extended session coverage, or other photography services are not included and may be purchased separately, subject to availability and applicable pricing.
There is no obligation to purchase additional products or services.
9. Copyright & Image Usage
All photographs produced during the session remain the intellectual property of Ocean & Rock Photography and are protected under applicable United States copyright laws.
The recipient is granted a nonexclusive, nontransferable license to download, reproduce, share, and print the forty (40) delivered photographs for personal, noncommercial purposes.
Commercial use, resale, licensing, or reproduction for third-party advertising or promotional purposes is prohibited without prior written authorization.
Any use of the photographs by Ocean & Rock Photography for portfolio display, advertising, social media, or promotional purposes will be governed by the applicable photography agreement and any separately executed image-release provisions.
10. Prize Restrictions & Transferability
The photography experience:
- Has no cash redemption value.
- May not be sold, exchanged, or redeemed for cash.
- May not be transferred or assigned to another individual or household without prior written authorization.
- Cannot be applied toward an existing photography booking.
- Cannot be exchanged for wedding, event, commercial, or other photography services.
- Cannot be combined with other promotional offers, discounts, or gift certificates.
No substitutions or modifications to the prize are permitted unless expressly approved in writing by Ocean & Rock Photography.
11. Photography Agreement
Prior to the scheduled session, the winning recipient will be required to review and sign Ocean & Rock Photography's standard family photography agreement.
The agreement will confirm session details, participant information, artistic expectations, digital deliverables, usage rights, and applicable policies.
The photography session will not be considered confirmed until the required agreement has been completed.
12. Fundraising Event & Prize Administration
This photography experience is independently donated by Ocean & Rock Photography in support of the designated fundraising event benefiting American Heritage Girls and Trail Life USA.
The fundraising event organizer is responsible for establishing and administering raffle entry requirements, ticket sales, eligibility, winner selection, drawing procedures, and compliance with applicable laws and regulations.
Ocean & Rock Photography is responsible for fulfilling the donated photography experience in accordance with the terms outlined herein and the applicable photography agreement.
13. Acceptance of Terms
By accepting and redeeming this photography experience, the winning recipient acknowledges and agrees to the terms and conditions outlined above.
Any exceptions, extensions, or modifications must be approved in writing by Ocean & Rock Photography.
